How it works

STEP 1

Pick a template

Or describe a process — e.g. "SOP for onboarding a new B2B SaaS customer from contract signature through first 90 days." FlowGuideAI matches you to the closest template or builds the structure from your description.

STEP 2

Answer 4–6 questions

The AI asks about scope, owner, frequency, and success criteria. Specifics turn into precise documentation; gaps get [VERIFY:] markers — the AI won’t invent details to fill space.

STEP 3

Share with stakeholders

Export to PDF / DOCX for executives, Markdown for your wiki, HTML for portals. Edit any section inline; regenerate any single section without losing the rest of the document.

Why business teams choose FlowGuideAI

  • From description to document in minutes — skip the blank-page paralysis when you need to formalize a process you already run informally.
  • AI marks uncertainty with [VERIFY:] flags rather than fabricating details; you fill in real specifics during review.
  • Plays well with your stack: JIRA + Confluence are live; export to Notion / Slack / Teams formats. Vanta + Drata integrations Q3 2026.
  • Tiered pricing scales from solo COO (free, 15 pages/mo) to multi-business-unit ops (5,000+ pages/mo, multi-workspace).

Frequently asked questions

What kinds of business documents can FlowGuideAI generate?
Standard operating procedures (SOPs), project charters with RACI matrices, customer onboarding playbooks, vendor evaluation rubrics, escalation protocols, status report templates, post-mortem frameworks, decision documents, and OKR / metric definitions. Both prescriptive procedures (do X then Y) and descriptive narratives (this is how the team handles X) are supported. Each is a guided template with a structured question flow that captures the specifics — owner, frequency, escalation path, success criteria.
Is this just another AI writing tool?
No — FlowGuideAI is structured around documentation specifically, not general-purpose writing. The guided question flow forces the specifics that make documentation useful (owner, frequency, escalation, success criteria) rather than generating prose that sounds smart but skips the operational detail. Templates are framework-anchored where it matters (SOC 2 control narratives use the AICPA Trust Services Criteria; GDPR notices use Article 13/14 structure) instead of generic policy language.
Can I use this for processes that don’t exist yet?
Yes. Many users describe a process they want to formalize — "we should have an SOP for vendor onboarding but we don’t" — and FlowGuideAI generates the structured first draft based on the description. You then edit to match how the process actually works (or how you want it to work). This is more useful than recording an existing screen-based workflow, since it lets you document procedures you don’t currently perform on screen at all.
How do generated SOPs compare with consultant-written SOPs?
A consultant-written SOP costs $1,000-$5,000 per document and takes 2-4 weeks. A FlowGuideAI-generated SOP takes 10-30 minutes and costs whichever pricing tier you’re on (free for the first 15 pages a month, $0.35-$0.45 per page on overage). The trade-off: consultants bring industry-specific judgment and outside perspective; FlowGuideAI is faster and gives you a structured starting point your team adapts. Many ops teams use both — FlowGuideAI for the standard documents, consultants for the high-stakes / custom ones.
Does FlowGuideAI integrate with our wiki?
Currently: JIRA + Confluence integration is live (Business / Enterprise tier — generated docs publish directly to a Confluence space). Markdown export drops cleanly into Notion / GitHub / GitLab wikis with no reformatting. Slack and Microsoft Teams integrations are on the Q3 2026 roadmap (announce-in-channel-when-doc-ready style notifications). For wikis we don’t natively integrate with, the export-and-paste path takes about 30 seconds per document.
How does pricing work for a 50-person ops team?
A 50-person team usually lands on Professional ($85/mo, 1,000 pages) or Business ($375/mo, 5,000 pages) depending on how doc-heavy the team is. Pages reset monthly; overage above cap is billed once at end-of-month with a $2 minimum threshold (small overruns absorbed). Multi-workspace is on Business tier — useful for separating ops docs from compliance docs from project docs. Multiple seats per account included; per-seat licensing isn’t how the model works.
Can I version-control generated documents?
Each generation produces a revision row in your workspace, so the version history is visible inside the app. For external version control: export to Markdown and commit to your Git repo — the .md format diffs cleanly in PRs. Many teams treat the FlowGuideAI workspace as the working draft and the Git repo as the canonical published version. Document compare (side-by-side diff between two revisions) is on the AI Tools menu in the app.
